Privacy Policy

1. Data Controller

The data controller for this platform is BlueWavePixel (BWP), contact geral@bluewavepixel.pt. The directory is maintained together with the veteran team coordinators, who enter and update their own team pages. For data protection enquiries, write to geral@bluewavepixel.pt or use the Veteranos WhatsApp group: Open the WhatsApp group.

2. Purpose of Processing

Personal data is used to: help veteran teams contact each other to arrange matches and tournaments (team pages, map, “Looking for an opponent” and “Available teams”); give coordinators access to their team page; answer suggestions; protect the platform against abuse; and keep the coordinators' WhatsApp group in step with the directory, to invite those who do not have a page yet. It is not used for advertising or sold to anyone.

3. Data Collected

• Team coordinator/manager name
• Email address
• Phone number
• Team and ground name and location
• Team logo, team photo and social media (optional)
• “Looking for an opponent” posts, availability and replies between teams
• Suggestions sent (name, email and message)
• Technical log of sign-ins and viewed contacts (account, date and IP address), for security and to stop abuse
• Coordinators' WhatsApp group: name and phone number of group members, including those without a team page, used only by the moderators to invite teams to register

4. Legal Basis

Processing rests on two legal bases under the GDPR: (a) the explicit consent of the data subject (Article 6(1)(a)), given at registration, for collecting and sharing contact details; and (b) legitimate interest (Article 6(1)(f)) in maintaining a directory of veteran teams that helps clubs get in touch, in protecting the platform against abuse and in keeping the coordinators' group in step with the directory. You may withdraw consent at any time by deleting your team, and anyone in the WhatsApp group can ask to be removed from the moderators' list.

5. Data Access

Coordinator contact details (name, phone, email) are only visible to signed-in coordinators, with a daily lookup limit. The rest of the team page (team name, location, colours, logo and photo) is public. The WhatsApp group list is only seen by the moderators. Processors: Cloudflare (hosting, database, files and email delivery) and, as a fallback for email, Resend, both based in the US; data is hosted in the European Union and transfers rely on the EU-US Data Privacy Framework and, where applicable, the Standard Contractual Clauses. The map uses OpenStreetMap tiles, which receive the IP address of whoever views it.

6. Data Subject Rights

Under the GDPR, you have the right to:

• Access: view all your data in the team dashboard
• Rectification: edit your data at any time
• Erasure: delete your team and all associated data
• Portability: request your data in a digital format
• Withdraw consent: at any time, without affecting the lawfulness of prior processing

7. Data Retention

Data is retained while the team remains active on the platform. Teams with no activity for an extended period may be contacted and, if no response is received, their data may be deleted. When a team is deleted by the coordinator or a moderator, the data enters a 90-day recovery window (to allow reversing mistakes) and, once that period elapses, it is permanently erased. The technical log of sign-ins and viewed contacts is deleted automatically after 12 months. The WhatsApp group list follows the group: those who leave are marked as such and deleted on request. After permanent deletion, data may persist only temporarily in backups until these are replaced in the normal backup cycle.

8. Security

Data is stored on secure servers with encryption in transit (HTTPS) and at rest. Access is protected by authentication.

9. Cookies

The platform only uses essential technical cookies for authentication (coordinator session). No tracking or advertising cookies are used.
